We are currently recruiting for an experienced PA to provide a full PA service to the Learning and Development Department management.
Based near London Bridge, the successful candidate will be working with colleagues in the London office, and our Global Service Centre (GSC). The responsibilities include but are not limited to.
• Providing a discrete and confidential PA service to L&D Management and/or Members of the Leadership team
• Ensure work received is logged, quality checked and saved appropriately by the required deadline.
• Proactively manage the email inbox for allocated Managers and/or Leadership team. Opening and responding to non-confidential emails providing updates to avoid duplications; maintain electronic files
• Proactively manage diaries in Outlook: arranging meetings often in different time zones, sending and responding to invites, resolving conflicts, confirming appointments and bringing forward papers
• Proactive management of overseas business trips for the Management team
• Responding to telephone enquiries and taking accurate messages
• Produce monthly Know-how bulletins and assist develop further the L&D resource bank by uploading them into the Learning Management System (LMS)
• Become the LMS Expert and use that knowledge to review processes and improve them for increased efficiency and effectiveness
• Be a subject matter expert and support fully the transfer of knowledge to the GSC
• Coordinate the QLTS (Qualified Lawyers Transfer Scheme) applications sign off process
• Where required, participate in interviews for relevant team members, following the department’s recruitment processes to ensure high calibre candidates are hired
• When required, assist coordinators by helping to set up training rooms in advance of sessions ensuring that courseware and equipment are in place and technology is working
• Make arrangements for the completion of psychometric tests and produce reports as required
Skills & Experience
• Strong Academics
• 4+ years’ experience within an L&D team
• Line management experience
• Excellent organisational and administration skills
• Strong time management and prioritisation skills will be required to support a busy team at different levels of seniority
• Ability to operate in a friendly, client focused, professional and discrete manner at all times
• Ability to engage with key stakeholders and deal with people at all levels within the organisation
• Strong team player
• Flexible and adaptable approach
• Confident and fully competent with IT/use of Microsoft office package.
• Excellent written and verbal communication skills
• Proactive and positive approach with a “can-do” attitude
• Meticulous attention to detail; always striving for high quality and continuous improvement
• Ability to work effectively under pressure
• Solution orientated and takes initiative
• Experience in a legal or other professional services environment
• Experience and knowledge of L&D /LMS system (Cornerstone) and best practice
