We are currently seeking to recruit a Secretary to join the Real Estate team at a magic circle law firm on a 6 month FTC.
The ideal candidate will be required to provide an efficient; client focused secretarial service to allocated fee earners.
Responsibilities include, but are not limited to the following:
Assist the team to effectively manage all incoming and outgoing communication;
Provide excellent customer service to clients by developing a thorough understanding and awareness of key clients and current fee earner projects. The post holder is also required to gain a detailed knowledge of key contacts in the group to ensure all client enquires are forwarded to the correct fee earner effectively and efficiently.
Prepare and type documents, such as letters, reports, meeting notes, and emails effectively and to deadlines, ensuring copies are retained and filed accordingly.
Assist the team with electronic conveyancing searches for both residential and commercial; Register the ownership of land and property in England and Wales via the Land Registry, as well as the scheduling of legal documents.
Manage both electronic and paper filing systems for the team by ensuring all relevant documents are sorted and filed.
Organise internal and external meetings by liaising with Reception to ensure the correct room is allocated, and refreshments/equipment have been ordered as and when required. The post holder will also manage client enquiries and client requests for meetings.
Book and arrange travel for the team, making sure flight membership numbers are provided to travel agencies when appropriate.
