IP Litigation Secretary – London

Our client is a highly regarded firm with an established intellectual property practice, supporting clients on complex and often high value contentious matters. The team is looking to strengthen its support function with an experienced IP Litigation Secretary who can provide reliable, proactive assistance across a demanding caseload. You will join a collaborative environment where organisation, discretion and the ability to stay ahead of deadlines are essential.

The role will involve working closely with lawyers and wider teams across a variety of contentious intellectual property matters. You will be comfortable managing busy diaries, coordinating documents and correspondence and providing the day to day support needed to keep complex cases progressing smoothly.

Responsibilities

• Provide comprehensive secretarial support to lawyers working across IP litigation and contentious matters
• Manage diaries, meetings, calls and appointments, including coordinating with clients and external parties
• Prepare, format and proofread correspondence, legal documents, reports and presentations
• Assist with the preparation and organisation of documentation for hearings, meetings and case deadlines
• Maintain accurate electronic and physical filing systems and ensure documents are stored appropriately
• Manage incoming and outgoing correspondence, ensuring urgent and time sensitive matters are dealt with promptly
• Assist with document production, bundling and other case related administrative requirements
• Coordinate travel arrangements, meetings and other logistics where required
• Monitor key dates and assist lawyers with keeping case related deadlines on track
• Liaise professionally with clients, counsel, experts, courts, opposing parties and other external contacts
• Handle confidential and commercially sensitive information with a high degree of discretion
• Provide wider administrative support to the team as required

Requirements

• Previous experience as a Legal Secretary, ideally within litigation, disputes or intellectual property
• Experience supporting lawyers handling complex or contentious matters
• Strong organisational skills and the ability to manage several priorities simultaneously
• Excellent attention to detail, particularly when working with lengthy or technical documents
• Confident using Microsoft Office, particularly Word, Outlook and Excel
• Strong written and verbal communication skills
• Able to work calmly and efficiently when dealing with tight deadlines and changing priorities
• Professional and confident when communicating with clients and external contacts
• Good understanding of confidentiality and the importance of handling sensitive information appropriately
• Proactive approach, with the ability to anticipate what lawyers and the wider team may need
• Comfortable working both independently and as part of a busy support team
• Previous IP experience would be advantageous, although strong litigation secretarial experience may also be considered
