Owen Reed is looking for an experienced Senior Legal PA to provide proactive, high-quality support to Partners and senior fee earners within a Fraud team. Joining the Legal Operations team within Legal Support Services, you will play a key role in coordinating busy schedules, supporting matter management and billing, and delivering exceptional service to clients and colleagues.
This opportunity would suit a self-motivated and highly organised professional with strong technical skills, excellent attention to detail and the confidence to take ownership of a varied workload.
Key Responsibilities
Partner and Fee Earner Support
- Act as a first point of contact for fee earners, managing calls, emails, correspondence and meeting requests, responding on their behalf where appropriate.
- Proactively manage complex international diaries across multiple time zones, anticipating commitments and resolving potential clashes.
- Prepare meeting materials, background information and briefing notes, and support the follow-through of action points.
- Assist with expense claims, supervisory responsibilities and other business requirements.
Matter Management and Compliance
- Support the full client and matter lifecycle, working closely with onboarding and compliance specialists to ensure required documentation is obtained, issued and accurately stored.
- Support fee earners and supervise Legal PAs in meeting compliance requirements, including matter opening, retainer letters, conflict checks, searches, Client Due Diligence and Know Your Customer checks.
- Maintain electronic and paper files in accordance with the firm’s filing protocols.
- Ensure inactive matters are closed promptly, client funds are returned and completed files are archived.
Financial Management and Billing
- Develop a strong understanding of the firm’s billing systems and processes, supporting fee earners and supervising Legal PAs and Business Administrators in producing accurate bills and financial information.
- Ensure matters are set up with the correct rates, discounts and billing details, and that money on account is collected or an exemption is recorded.
- Coordinate work-in-progress lists and Partner billing, liaising with the billing team and monitoring recorded time and bills against estimates.
- Help monitor outstanding bills and liaise with Credit Control as required.
- Ensure disbursements, invoices and payments are processed accurately and promptly.
Travel and Business Development
- Manage routine and complex travel arrangements through the firm’s in-house provider, preparing comprehensive itineraries and supporting materials.
- Ensure travel expenses are captured, approved and processed in line with policy, and assist with business cases for travel.
- Support the preparation of client and prospective client presentations and other business development content.
- Organise business breakfasts, lunches, dinners and smaller events.
- Record referrals and contacts in InterAction and maintain CRM lists.
Delegation and Team Collaboration
- Work collaboratively with Legal PAs and Business Administrators, delegating matter support, filing, archiving, scanning, copying, CRM updates and courier arrangements appropriately.
- Coordinate with Document Production on formatting, typing, amendments, document production, house styling and proofreading where required.
- Liaise with Legal Support Services, the Global Capability Centre and other internal teams to delegate work or obtain specialist input, retaining ownership and following up to completion.
- Help identify improvements to processes and systems, working with Division Assistants to implement changes.
- Provide cover for the Division Assistant and other Legal Operations colleagues, working flexibly across teams when needed.
- Take responsibility for your workload, communicate working arrangements clearly and follow through on commitments.

Skills and Experience
- Previous experience in a senior legal administrative role, with a sound understanding of legal compliance and matter management.
- Proven experience managing diaries for multiple individuals, using judgement to prioritise commitments and resolve scheduling conflicts.
- Excellent organisational and time-management skills, with the ability to plan ahead, manage competing demands and adapt to changing priorities.
- Exceptional attention to detail and the ability to produce consistently accurate work under pressure.
- A methodical approach and confidence working within structured processes and compliance frameworks.
- Strong Microsoft Office skills and experience using client databases, matter management, billing and other business systems.
- A willingness to learn new software and adapt to changes in working practices.
- Excellent interpersonal and communication skills, including drafting professional emails and correspondence.
- A collaborative, flexible approach and willingness to support additional fee earners and colleagues when required.
- High levels of discretion when handling sensitive and confidential information.
