Owen Reed is looking for an experienced Legal PA to provide high-quality, proactive support to a team of partners and fee earners within a Corporate team. This opportunity would suit a highly organised professional with excellent communication skills, strong attention to detail and a commitment to delivering exceptional client service.
Key Responsibilities
- Work collaboratively with Finance teams to support fee earners’ financial performance, including client billing, reporting, matter balances and working capital management.
- Support Business Development activities, including organising and attending events and conferences, maintaining CRM records, updating fee earner CVs and assisting with bids, tenders and pilots.
- Use the Business Development hub and credentials database to support business development work.
- Where supporting a Client Relationship Partner for a Client Universe Client, assist with organising and attending core team and relationship meetings, coordinating events and compiling regular client reports.
- Manage matter opening processes, ensuring correct rates are applied, engagement letters and matter specifications are prepared promptly, and Onboarding teams are consulted as required.
- Complete conflict checks, Client Due Diligence and the end-to-end Client Matter Inception process accurately and in line with firm protocols.
- Maintain effective file management, identifying matters for closure, ensuring bills are paid, clearing client balances and work in progress, and archiving completed files.
- Provide comprehensive diary management, anticipating commitments, coordinating meetings and travel, and resolving scheduling conflicts independently where appropriate.
- Arrange complex travel, identifying and recommending cost-efficient options.
- Prepare meeting packs and itineraries, and coordinate meeting rooms, hospitality and other resources.
- Use the Cube for administrative tasks, taking ownership to ensure work is delivered accurately and on time.
- Delegate appropriate work to Document Production, including pitch and tender documents, legal document conversions and amendments, and transcripts.
- Maintain the technical skills needed to support fee earners effectively and proactively address any knowledge gaps.
- Follow the firm’s risk and compliance policies, raising issues promptly with the relevant Partner or Risk and Compliance team.
- Complete all compulsory training on time and return complaints and claims questionnaires as required.
Skills and Experience
- Three years’ experience, or equivalent, gained within a comparable environment at an appropriate level.
- Excellent written and verbal communication skills, including accurate grammar and punctuation.
- Strong proficiency in Microsoft Office.
- Proven experience of delivering exceptional client service.
- Excellent attention to detail and experience working in a fast-paced office environment.
- The ability to work collaboratively within a team and independently.
