Owen Reed is looking for a Legal PA for a top law firm in London.
This is an exciting opportunity to join the IP and Commercial team, providing high-level organisational and administrative support to Fee Earners. The successful candidate will play a key role in ensuring the smooth running of the department while delivering exceptional client service.
Reporting to the Departmental Support Manager, this position would suit an experienced legal secretary or practice assistant with strong organisational skills and a proactive approach.
The Role As Legal PA, you will provide comprehensive support across organisational, document production, client care, financial administration and file management tasks.
Key Responsibilities Organisational Support
Provide proactive and effective diary management, anticipating workload pressures and planning ahead
Process applications, forms and searches accurately with minimal supervision
Maintain strong knowledge of departmental systems and processes
Client Relationship & Business Development
Deliver a professional and responsive service to internal and external clients
Act as a first point of contact for Fee Earners
Support marketing communications and record business development meetings in the CRM system
Maintain strict client confidentiality at all times
Document Production
Produce high-quality documents in line with house style, ensuring speed and accuracy
Use the Document Management System effectively
Generate documents from firm templates using CRM contact data where appropriate
Proofread documentation carefully, checking spelling, grammar and clarity
IT & Systems
Maintain high proficiency across Microsoft Office (Word, Excel, PowerPoint, Outlook)
Confidently utilise internal systems including CRM and document management platforms
File Management
Work proactively with Fee Earners to ensure files are maintained, updated, closed and archived appropriately
Keep accurate records of files sent to off-site storage
Financial & Risk Management
Prepare bills as required by Fee Earners
Prepare AML documentation and obtain required client information in a timely manner
Conduct conflict searches and correctly identify work types
Skills & Experience Previous secretarial experience within a law firm is essential
Experience in Intellectual Property, trademarks or commercial law is desirable
Strong organisational skills with the ability to work independently
Excellent attention to detail and high levels of accuracy
Professional, discreet and client-focused approach
Education GCSE (or equivalent) grade C/Level 4 in Mathematics and English is essential
