I am currently working on behalf of a leading professional services firm that has built a reputation for quality and innovation. The firm is known for providing an excellent working environment, supporting career development and offering long-term progression opportunities.

The firm is now seeking a Junior IP Secretary to join its London team. This is a rare opportunity for someone with previous secretarial experience in the legal industry to step into the intellectual property sector. The role is also open to candidates who already have IP experience and are looking for their next move.

Key Responsibilities:

  • Providing administrative support to fee earners and paralegals
  • Managing diaries and monitoring emails to ensure deadlines are met
  • Drafting and formatting client correspondence for review
  • Assisting with billing, invoicing and financial administration
  • Preparing reports, status checks and cost estimates
  • Liaising with clients and ensuring timely communication
  • Supporting the smooth running of formalities and records management

Requirements:

  • Previous secretarial experience within the legal industry (essential)
  • IP administration or formalities experience would be an advantage
  • Strong organisational and time management skills with the ability to work under pressure
  • Excellent written and verbal communication skills
  • Confidence using Microsoft Office (Word, Excel, Outlook); experience with records or billing systems advantageous
  • Proactive approach with strong attention to detail and the ability to work both independently and as part of a team
