The main purpose of the role 

To be a key member of Joelson’s Corporate & Commercial admin team providing support to 4 Partners and 13 Legal Specialists. The team is currently supported with 1 Secretary and 2 Paralegals.

Job Type

Full time, Permanent


9.30 am – 5.30 pm Monday to Friday, with flexibility required outside those times on occasion. We are working in a hybrid working model with a minimum of 2 days within the office.

The Opportunity 

Joelson is a thriving commercial law firm based in the West End of London, with 60+ people. Your responsibilities will include:

Finance & Billing

  • Opening and distribution of clients’ registered office post and coordination of annual billing of fees for registered office and company secretarial services
  • Conducting billing, credit notes, payments, invoicing for the department & support with expense sheets


  • Typing documents from audio dictations and other amended documents.
  • Sorting and scanning post to relevant team members
  • Reviewing files whilst conforming, dating, formatting, redacting, and populating documents
  • File opening – KYC, KYC checklists, Lawman file setup, engagement letters, and matter acknowledgment letters
  • Closing and archiving of files when necessary
  • Scanning and printing documents
  • Drafting ancillary documents and formatting and comparing letters
  • Liaising with DocuSign Account management & signing matrixes and monitoring and filing emails
  • Monitoring and recording client referrals and maintaining our corporate contacts database
  • Ensuring all paperwork is up to date on individual files and the firm’s management system
  • Preparing PowerPoint presentations
  • Companies House filings /general cover letters

    Diary Management

    • Arranging Travel/Meetings/Events/Seminars
    • Responsible for diary and inbox management, ensuring the department is run efficiently
    • Arranging agendas and conference calls, sending calendar invites when necessary

    Our Ideal Candidate 

    Our ideal candidate will have the following:

    • An outgoing, enthusiastic and confident manner
    • 1-2 years’ experience as a legal secretary in a law firm or professional services
    • A diligent work ethic and the ability to work to strict deadlines
    • Excellent communication skills, both orally and in writing
    • Strong organisation and administration skills, with the ability to prioritise workloads effectively
    • The ability to see matters through with a good eye for detail
    • A friendly and personable approach with colleagues and clients
    • A proactive and growth mindset towards achieving goals
    • Strong IT skills, including Microsoft Outlook, Word and Excel, and an ability to pick up new systems quickly
