Description
Our PREF Practice Group (Projects, Real Estate & Finance) is
looking for an experienced PA to join their Real Estate team. You will
be supporting a busy team of Fee Earners dealing with a variety of
matters for a wide range of commercial Real Estate clients.
This a full-time, permanent position based in our London office
although we are happy to consider some home working for this position too.

What you'll do
The main purpose of this role is to provide highly professional,
effective and proactive PA support to a busy team of fee earners, more
specifically you will:
* Amend legal documents, managing/uploading/downloading of extranet sites
* Map and submit property searches via on-line search platforms
* Proactively monitor and assist with email and diary management
* Support and assist with Business Development initiatives/marketing
events for the team
* Become actively involved in managing and taking responsibility for
the billing process and working closely with both fee earner and
finance teams; tracking specific client billing
arrangements/processes/client reporting and completion of on-line
finance forms
* Proactively take responsibility for all travel arrangements,
conference bookings, meeting room bookings, complete expense
reclaims, updating Interaction in respect of BD activity for the
team you support
* Deal with deeds and file management (filing, closing, scheduling
and offsite storage)
* Work as a team with the other Real Estate PAs including tasks
submitted via BigHand
* Initial point of contact for enquiries from clients, colleagues
and third parties and deal with same in a prompt and professional
manner, providing effective transfer of information
* Develop strong working relationships with staff and key clients,
ensuring professional and proactive communications at all times
* Troubleshooting any IT issues and escalating to IT team if necessary
* Provide PA support within the team (covering for other PA absences
as and when required)
* "Can do" positive work ethic and act as a good role
model to others
* Strong PA attributes and ability to take ownership of issues that arise
* Activity contribute and be involved in activities of the wider
Real Estate team
We are looking for
We are looking for an experienced legal PA who is able to use their
own initiative, can demonstrate first class organisational skills and
be an integral team player.
More specifically you will be able to demonstrate:
* A proactive and positive attitude, take ownership of tasks and
manage your own workload
* Have excellent written and verbal communication skills
* Be able to work under pressure
* Have strong IT skills (Microsoft Office 365, MS Teams, Excel, PPT,
doc management systems)
* Be exceptionally well organised, work flexibly, with the ability
to manage change
* Always work with confidentiality, discretion and diplomacy
