Play a vital support role in this busy department
The Public Law department is seeking to recruit a Personal Assistant. The successful candidate will work alongside another Personal Assistant and an Admin Assistant, primarily providing billing (private and Legal Aid) and administrative support to fee earners within the team. You and the existing Personal Assistant will be the first points of contact for all administrative support within the department.
This role may be suitable to candidates wishing to move into a secretarial/team co-ordinator role.
Main Duties and Responsibilities:
- The principal duties of this role is to provide billing and administrative support to fee earners within the team.
- Coordinating the workload of the department to include:
* Preparing, checking and finalising accurate bills billing (private and Legal Aid i.e. publicly funded matters);
* liaising with the finance team/billing coordinators;
* liaising with and allocating typing to outsourcers;
* dealing with existing and new client queries;
* managing fee earner diaries;
* making appointments and arranging meetings.
- Being the first point of contact for all administrative support within the department such as:
* opening and closing files on the firms case management system;
* assisting fee earners with case administration and preparation;
* archiving;
* filing both manual and electronic.
Skills / Knowledge Requirements:
The successful candidate will need to be highly motivated and must have:
* good experience in a similar role within a law firm;
* good communication, organisation and administrative skills;
* fast, accurate typing;
* an excellent telephone manner;
* a flexible and professional attitude;
* an ability to work on confidential matters and under pressure, together with a keen eye for detail.
