The role

We have multiple Legal Secretary vacancies available within our different departments based in the Bath office. We will consider applications from candidates considering full time or part time hours.

Key Responsibilities

General secretarial duties include, but are not limited to:

  • Typing - word processing of correspondence and large/complex documents (to include using the firm’s house style, formatting, track changes, automatic numbering, cross-referencing etc.);
  • Dealing with clients in person and on the telephone;
  • Booking and co-ordinating meeting and travel arrangements along with general diary management;
  • Making full use of the firm’s document management system;
  • General file management; Filing documents and correspondence, mainly electronically but also occasionally physically.
  • Dealing with post and arrangements for sending large/heavy documents by registered post;
  • Scanning and coping large documents;
  • Liaising with the accounts department on preparation and payment of bills and other accounts queries;
  • Dealing with any administrative tasks required by immediate fee earners;
  • Assisting the team and Head of Team with compliance obligations (eg. LEXCEL);
  • Raising bills and liaising with the accounts department on preparation and payment of bills and other accounts queries;
  • Being proactive on files and helping to ensure a matter progresses;
  • We have a meeting room hostess but there might be occasions where it would be necessary to provide refreshments for client meetings;
  • Attend team meetings;
  • Working predominantly with certain fee earners but acting very much as part of a team and assisting colleagues from other offices when they are working from the London office;
  • Tracking of tasks/commitments requested by colleagues;
  • Assist the other offices by taking calls and work when required.

Requirements

  • Proficient IT and keyboard skills (including Word and Excel)
  • Proficient at using the firm’s systems (iManage and 3E), although we appreciate training may be needed if have not worked with those before – if necessary, a keen and quick learner
  • Friendly and proactive, with an active interest in the team and firm
  • Excellent inter-personal skills when dealing with clients and others
  • Ability to use initiative and demonstrate a can—do attitude to solving problems
  • Willingness to learn
  • Ownership of tasks through to completion
  • Ability to work under pressure and to a high level of accuracy
  • Willingness to work supportively and co-operatively with other members of the team
  • Organisational skills and high attention to detail
  • Administrative skills with the ability to contribute to improving working practices
  • Must be discreet when dealing with the Firm’s confidential affairs

Additional Requirements

The candidate should be well-organised, technologically proficient and capable of working on their own or within a team. They will also be required where necessary to provide supervision to more junior members of the team.
