Residential Property Legal Secretary Paralegal

Salary up to £38,000!! (based on experience)

An urgent need has arisen for a Legal Secretary/Paralegal to work for a successful City Law practice based within easy walking distance from Liverpool Street, Fenchurch Street, London Bridge, City Thameslink AND Blackfriars; absolutely no excuses with this one.

The firm are seeking a highly competent Residential Legal Secretary, Paralegal OR even better, a Legal Secretary/Paralegal to join one of the firm's busiest and most profitable departments.

The firm themselves are long established in London and are ranked among the top 100 firms in the Country, no small feat given the amount of competition.

That said, their offices are stunning; plenty of natural light that makes for a relaxing working environment but still a whirling dervish of activity that'll make you feel part of 'something' from the get go. Throw in a huge open plan kitchen area (free porridge and soup if you're keen!) and a roof terrace that wraps itself around the building offering panoramic views of the City, there are a lot of worse places to work…!

The likely ratio for this Legal Secretary/Paralegal will be 1:4, including a Partner and the firm have an excellent structure in place that'll offer support on an administrative level when you're busy with your own caseload. However, for a more in-depth list of duties, please see below:

-File opening and collation of details
-Using precedent documents to start off transactions for long standing clients
-Dealing with online search transactions and enquiries
-Preparing reports to clients for freehold and leasehold properties
-Preparing files for exchange and dealing with completions and all post completion work
-Dealing with other solicitors, clients and estate agents
-Recording time appropriately
-Dealing with emails, correspondence and phone calls in fee earner absence
-Meeting clients as and when necessary
-Producing and formatting documents, reports and correspondence
-Typing from digital dictation (via BigHand), handwritten drafts or typed documents
-Responsible for administration tasks such as: opening and closing files; diary management. Making travel arrangements, processing expenses claims
-Filing, photocopying and scanning as and when required
-Managing and redirecting telephone calls including taking messages in an appropriate manner
-Liaising with Facilities/Accounts and other support departments within the Firm to support the work of fee earners
-Assisting with the Team billing process as and however required
-As the Firm's secretaries tend
-Thorough understanding on Legal concepts and terminology in relation to Residential Property work.

-Team player; willing to help others wherever possible
-Able to work independently i. can be relied upon to consistently deal with both straightforward and more complex tasks with minimal or no supervision
-Able to complete more complex document formatting problems with minimal or no supervision
-Able to use knowledge and initiative in a proactive and sensible manner i. can think beyond instructions/information provided and anticipate relevant next steps that may assist the Team or the fee earner
-Copes well with high volume and time-pressured work; does not miss deadlines given and has good judgement in prioritising tasks and determining work that may be suitable for outsourcing
-Able to demonstrate appropriate temperament and potential supervisory skills in relation to dealing with Junior Legal Secretary queries and acts as a positive role model for more junior secretarial members
-Able to form positive working relationships with clients and other external customers and can easily be presented as a first line support for client queries.
