What You'll Do

As a Legal Secretary, you'll play a pivotal role in supporting our US Immigration team with administrative tasks, ensuring smooth operations and exceptional service delivery. Your responsibilities will include:

  • Provide secretarial and administrative support to all team members, including Paralegals, Lawyers and Central Services team.
  • Draft correspondence, emails, and forms, and assist Paralegals with visa applications.
  • Ensure the accuracy and completeness of legal documents, including proofreading and formatting.
  • Oversee client records and communications while assisting with client inquiries, scheduling appointments, and document submissions.
  • Utilise legal practice management software accurately and efficiently for document management and other administrative tasks.
  • Organise and maintain online and in-office filing systems to ensure efficient storage and retrieval of documents.
  • Manage incoming and outgoing phone calls, addressing inquiries and providing assistance as required.
  • Ensure compliance with legal regulations and firm policies in all administrative tasks and documentation.
  • Oversee inventory and procurement of office supplies and equipment to ensure smooth operations.
  • Assist with event planning and coordinate employee engagement events under the supervision of the Operations Director.
  • Coordinate national and international business travel arrangements for the team, including flights, accommodation, and itineraries.

Desired Skills and Experience:

  • Legal Secretary or Secretarial Certification or Diploma preferred but not essential.
  • Strong multitasking abilities, capable of handling multiple tasks simultaneously.
  • Excellent written and verbal communication skills, with attention to clarity and professionalism.
  • Effective time management and prioritisation skills, adept at meeting deadlines
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook), including basic formatting and data entry.
  • Detail-oriented mindset with a proactive approach to tasks, ensuring accuracy and efficiency.
  • Solid understanding of office procedures and administrative tasks, including filing and record management.
  • Ability to work collaboratively in a team environment and take direction from attorneys and paralegals.
  • Willingness to learn and grow in a fast-paced legal environment, with a commitment to professional development.
  • Demonstrates a strong sense of responsibility, taking ownership of tasks and actions, and consistently delivering results with integrity and reliability.
